Administrative Assistant - Clerk II - DHS CISA
Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Provide internal guidance and coordination regarding administrative functions, management controls, metrics development, standard operating procedures, and general administrative compliance. Assist in facilitating the coordination, response, and monitoring of all document request and correspondence for Office of Administration (internal and external) within the Exec Sec Tasking Tracker (ESTT) system.

Essential Functions and Responsibilities include:

  • Providing support for three (3) DHS mission support office leaders, including calendar management, logistical support, travel planning and expense reimbursement, and note taking during meetings
  • Coordinating ESTT workflow and timely responses
  • Writing and editing memos, developing spreadsheets, filing, copying documents
  • Preparing correspondence, briefs, and reports for review/approval by Government staff
  • Scheduling meetings, organizing and maintaining calendars for DHS staff
  • Taking meeting minutes/notes and providing the same for government approval, distributing minutes/notes once approved
  • Ensuring compliance with current administrative policies and task requirements, executive secretariat guidelines, formats, and procedures; drafts responses to written request; corrects and completes clearance documentation; and utilizes acceptable style, tone, and timeliness
  • Reviewing/analyzing accuracy of grammar, spelling, punctuation, and clarity of writing for proposed tasker responses
  • Collaborate with DHS staff in coordinating responses in support of administrative activities as defined by DHS mission support offices. This may include non-budget taskers.
  • Providing logistics support for on-site events such as coordinating teleconferences, video teleconferences, meeting registration, room reservations
  • Off-site meeting venue research and event coordination, as needed
  • Plan and facilitate working sessions and other efforts to identify and coordinate actions to address exercise findings and lessons learned in after action reports
  • Other duties as assigned

  • Minimum Associates degree
  • Minimum must have three (3) years providing Executive level administrative support
  • Experience utilizing Exec Sec Tasking Tracker (ESTT) system
  • Desired – Experience providing simultaneous support to multiple Department Directors/Executives
  • Experience working for CISA
  • Experience in coordinating travel/schedules/events

  • Current DHS clearance, or ability to obtain and maintain a NACI or Clearance
  • Excellent computer skills (Microsoft Suite)
  • Excellent verbal and written communications skills
  • Strong attention to detail, self-starter, and the ability to manage multiple projects simultaneously
  • High aptitude for learning new skills and the willingness to tackle new challenges
  • Ability to obtain, analyze and translate complicated data into actionable insights
  • Experience utilizing Exec Sec Tasking Tracker (ESTT) system
  • Experience working with large-scale database tools
