Ruiz Investment Group is a successful multi-family real estate investment, development and Property Management Company headquartered in Tucson. This is an exciting, fast paced and rewarding opportunity with an established, financially well positioned, growing company.  While providing high quality and responsive executive level support to the President, the Executive Assistant also serves as the Office Manager for the Corporate Office. A high level of integrity, confidentiality, resourcefulness and good judgement are essential for planning, analyzing, establishing priorities and coordinating activities. Prior experience as an Executive Assistant is required.   • Ability to prioritize tasks and responsibilities; respond positively to unanticipated changes and meet deadlines
  • Proven ability to exercise discretion while working with confidential and sensitive matters
  • Demonstrated initiative and ownership of projects and assignments
  • High level of proficiency with Microsoft Word, Excel, Outlook and PowerPoint
  • Experience with databases, calendar scheduling systems, phone systems, assisting with web-based conference calls and meetings 
  • Writing: ability to compose written information in a clear, well structured and grammatically correct manner
  • Speaking: ability to present verbal information clearly, articulately and in a way that engages the recipient.
  • Service oriented and willing to help others

  • Stable work history and excellent references
  • Bachelor's degree 
  • Five to ten years of relevant work experience as an executive level assistant
  • Firm comprehension of administrative principles and practices
  • Experienced in developing, implementing and revising work methods and procedures
  • Prior supervisory experience with office staff
  • Legal experience a plus
  • High level of professionalism, energy, positive attitude and enthusiasm 
  • Ability to anticipate and meet needs proactively, to problem solve and to make decisions

Essential responsibilities:
  • Personal assistance to the President including: scheduling appointments, travel, maintaining calendar, maintaining records both business and personal, screening calls, screening emails, preparing correspondence, establish  and maintain filing systems 
  • Plan company events, luncheons and parties
  • Review and approve office related expenses
  • Review and monitor vendors and office equipment for efficiencies and cost control
  • Prepare and distribute bi-weekly, monthly and quarterly reports to partners and investors
  • Annual review of comprehensive property and casualty insurance
  • Manage front desk receptionist responsibilities; manage work flow and processes
