Position Summary
Thornberry Creek at Oneida is searching for a bright, energetic and resourceful Events Coordinator to join our Sales team. This person will be responsible for efficiently planning, preparing and executing external events in our rental space which include weddings, golf outings, and select internal events to help drive foot traffic and drive revenue for the property.

Thornberry Creek at Oneida is located in Oneida, WI. Nestled atop one of the highest peaks in Brown County and located just outside of Green Bay, Thornberry Creek at Oneida offers 27 holes of championship golf at its finest.
Other amenities of the facility include a spacious and comfortable Sports Pub & Grill, meeting rooms, and several banquet facilities including The Hawks Crest ballroom that can be configured in multiple layouts, from an intimate space for groups under 50 to an extravagant ballroom for up to 300 guests. The adjoining Cupola Room features incredible views of the surrounding area and serves as a great space for a ceremony.

Essential Duties and Responsibilities
Provide efficient and effective customer service to clients to understand their needs and requirements, working to exceed these whenever possible
  • Works with potential clients as well as existing clients, by setting up meetings to discuss and finalize all event details to include food tastings and site visits
  • Follow up with clients regarding final guest guarantees, room set-up and other catering details
  • Maintain detailed records of each assigned event
  • Participates in directing/coordinating events
  • Post-event communication to report on ways to improve client service
Coordinates and works with necessary departments on all details related to external event rentals to ensure proper execution
  • Plans and executes special events to include weddings, golf outings, showers, rehearsal dinners, graduation and anniversary celebrations, and more
  • Works with Food and Beverage Team to supervise banquet services
  • Schedules and assigns work to event staff
  • Ensures that all work orders and beverage and equipment orders (BEOs) are filled out properly with information necessary to execute each event
  • Responsible for proper invoicing of event
Create and execute creative internal events to drive business to the property year-round
  • Review and analyze internal and external market information, which reflects customer purchase, usage and satisfaction with Company products and services.
  • Monitor and track results of marketing and sales efforts, analyze budget variances and recommend revised action plans to achieve budgeted goals
Demonstrate a positive, enthusiastic, committed and flexible attitude towards customers and other team members, recognizing the importance and benefits of effective team work
Provide assistance to customers should an incident occur, seeking guidance in line with company policies
Monitor safety and health regulations to maintain compliance
Assist all departments when needed or required. Works with minimal direct supervision and must prioritize tasks and manage time effectively.
Has effective communication and interpersonal skills that convey to the client service, professionalism and confidence
Education/Qualifications/Certifications
  • BA or BS degree preferred
  • 2 years applicable event coordination experience
  • Demonstrated experience and capability in the areas of event planning and execution
  • Demonstrated quality written, verbal, and interpersonal communication skills
  • Ability to analyze and solve problems; efficiently handle multiple duties under pressure with minimal supervision; work flexible hours as required including nights/weekends.
  • Positive attitude, professional manner and appearance in all situations.

  • Lift up to 50 lbs occasionally, 20 lbs frequently, and 10 lbs constantly
Supervises
Banquet team to see through the execution of planned events

Working Conditions
Work hours may include days and evenings on weekdays and weekends. Subject to inside and outside environmental conditions. May be exposed to inclement weather, potentially dangerous pesticides, herbicides, and fertilizers, misdirected golf balls, sharp and rapid equipment movement. Injury may result as a result of exposure to the above if safety policies and practices are not properly followed at all times.

General office machines such as typewriters, personal computers, printers, copiers, fax machines, calculators, telephones, etc. VDT glare screen and wrist rest. Golf clubs, golf cars.
