Job Summary
TMT International Observatory LLC (TIO) is seeking to hire a full-time Award Management Specialist reporting to the Manager of Awards & Budgets. The successful candidate will play a crucial role in proposing, negotiating and administering TIO’s grants and awards. We are seeking an experienced, hard-working individual who can work effectively and collaboratively as part of a multi-disciplined team toward achieving the overall success of the project. The successful candidate must demonstrate a thorough understanding of all aspects of contract management including relevant experience with National Science Foundation or Federal Acquisition Regulations terms & conditions.

Responsibilities may include the following assignments
- Under minimal supervision, perform project award management for the entire lifecycle of grants and awards from the submission of proposals to final closeout
- Ensure that all proposals and awards comply with applicable internal and external regulations, requirements, policies, and guidelines
- Ensure that the administration of all awards is in accordance with internal and external regulations, requirements, policies, and guidelines
- Develop and monitor budgets for each award, tracking expenditures and ensuring financial compliance
- Prepare and submit accurate and timely financial and programmatic reports as required
- Maintain open and effective communication with both internal and and external stakeholders regarding award status, requirements and issues
- Identify and mitigate potential risks associated with awards, including compliance, financial, and programmatic risks
- Collaborate with internal audit leads during award-related audits to provide necessary documentation and information
- Support sub-recipient compliance as needed
- Maintain comprehensive and accurate records related to award management activities
- Stay informed about industry best practices and regulatory changes, and make recommendations for process improvements
- Perform ad-hoc reports, analysis, data integrity checks, and validations related to project needs
Required Skills
- Typically, 3 to 5 years of federal award management, preferably in a non-profit or university setting
- Thorough understanding of the principles of contracting and its application in federal and non-federal settings
- Excellent writing skills and proficiency with MS Word
- MS Excel proficiency to include advanced functions with spreadsheets such as data integration, pivot tables, advanced manipulation, and building templates
- Solid skills in analysis and reasoning
- Strong oral and written communication skills with both technical and non-technical staff, and attention to detail and work quality
- Ability to manage priorities in order to meet deadlines
- Experience supporting groups and teams on large projects in a fast-paced environment
- Respect, understand and value individual differences that embody the principles of diversity
Applicable Knowledge, Skills and Abilities
- Experience managing awards from the National Science Foundation and other federal agencies
- Experience managing non-federal, non-profit awards
Minimum Requirements
- Requires a related university degree or equivalent experience (Finance, Accounting, Business Administration). Master’s degree is a plus.
