We have a position available for a dedicated Receptionist to handle client-facing duties as well as general office management tasks and administrative support. When our clients walk into our office, we want them to find a friendly, smiling face and a helping hand. The ideal candidate has excellent communication and multitasking skills, a positive attitude and a strong work ethic. 



  • Welcome guests and visitors: Greet guests and notify the person(s) they are meeting. Offer guests water or coffee and show them where they can find the restroom. Offer WiFi to guests who are visiting for several hours.
  • Reception Area: Ensure the reception area is kept clean, has up to date magazines and reading material. Ensure the café area is kept clean and stocked with drinks and coffee supplies. Maintain and clean the coffee machine daily.

  • Maintain Concierge: Create and maintain a binder and/or webpage that has recommendations of restaurants, caterers, hotels, favorite lunch places, FedEx location, USPS location, local printers, etc. This could include important things to know about our building, emergency contact information, safety information, maps of the area, etc.

  • Maintain Neurelis Calendar: Support in ensuring that the Neurelis Outlook Calendar is updated with meetings and events and tracks when employees are visiting the SD office. Supports employees visiting the SD office with administrative needs.

  • New Hire Onboarding Support: Maintain Neurelis New Hire Welcome Packets. Preparation of new hires office prior to start date (office setup, supplies, new hire gift, welcome packet, etc.) 

  • Property Management Liaison: Co-liaison to the property management with the ability to submit work orders through Building Engines as needed (plumbing, lighting, janitorial, etc.)

  • Conference room preparation: Daily responsibility for ensuring all conference rooms are clean and prepared with amenities/ materials required for each meeting based on analysis of the executive calendars, fridges are stocked, whiteboards are clean and have plenty of markers and erasers. This would be completed first thing in the morning before most of the staff arrives.

  • Assist with catering for meetings: Setup and cleanup of catering meetings as needed.

  • Maintain Office Supplies: Inventory and restock office supplies weekly. Create a checklist of supplies and ensure supplies are maintained weekly. Main point of contact for requests. 

  • Maintain Kitchen Supplies: Inventory and restock kitchen supplies weekly. Create a checklist of supplies and ensure supplies are maintained weekly. Main point of contact for requests.

  • Other kitchen responsibilities: Load dishwashers and start them at night and empty dishwashers in the morning.

  • Maintain coffee machine: Maintain and clean coffee machines daily. Ideally this person will become an expert on the coffee machines and be able to train others on how to use it.

  • Maintain all office refrigerators: Inventory and restock all refrigerators (including kitchen and conference rooms) daily prior to staff arriving. Remove and dispose of anything expired.

  • Mail collection and distribution: Pickup and distribute mail and packages daily. Send mail, Fedex, UPS, etc.

  • Organize and maintain the office storage room: Keep storage room organized, clean, and labeled if appropriate.  

  • Administrative Support: General administrative support as needed.

  • Safety Committee: Member of safety committee, maintain safety procedures and monitor logbook. 



  • Bachelor’s degree preferred, or high school diploma accepted with some college or equivalent experience. 2+ years’ experience as a Receptionist or Administrative Assistant.

  • Knowledge of spreadsheets and word processing documents.

  • Ability to create an organized filing system.

  • Exceptional customer service skills and professional phone manner.

  • Overachieving attitude and enhanced work ethic.

  • Strong verbal and written communication skills.

  • Pharmaceutical industry experience preferred.

  • Be a proactive person able to display initiative and make independent decisions. 



The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Spends approximately 90% of work time sitting and meeting with others or working at a desk and/or computer. Spends approximately 10% of work time standing or walking within the work area or at meetings and bends, twists, stoops and reaches. Ability to communicate in writing and verbally. Occasionally lifts and/or moves up to 10 pounds. Working conditions are normal for an office environment. The noise level is usually moderate.
