Quinlan Partners is a leading investigations, due diligence, and business intelligence firm that is seeking an Office Manager to join our team in NYC. The Office Manager will report directly to the CFO/COO and will assist in the operations of the firm’s headquarters as it continues to grow. The Office Manager will wear many hats – technological, operational, and data entry-related, among others – and have the opportunity to learn about many aspects of running a professional service firm. This is a full-time position with benefits located in New York City’s Financial District (hybrid work arrangement). Office hours are 9am – 6pm; however, must be reachable on off-hours for urgent office related matters.
What You Will Do:
- Manage the day-to-day office operations and facility needs of the NYC office space , including handling incoming and outgoing mail, packages, and maintaining office supply inventory.
- Perform data entry and manage quality controls for various software systems (e.g., Salesforce, BigTime, Gusto, etc.).
- Provide support to the NYC staff as needed pertaining to any administrative, facilities or technology-related issues; serve as first point of contact for IT-related needs for the NY office staff.
- Coordinate office equipment maintenance and repairs as needed.
- Partner with the building's facilities management on security systems and access control.
- Track office expenses and partner with the accounting team on financial matters.
- Maintain office cleanliness; implement and monitor safety protocols.
- Assist in the onboarding process of new employees, including new hire orientation, training, IT/equipment and software setup, and other ad hoc requests as needed.
- Assist with planning NYC office and companywide events (client and internal).
- Provide administrative support to the CFO/COO, Head of the NY Office and Director of Business Development & Marketing, as well as investigative staff as needed.
- Answer phone calls, greet visitors, and direct inquiries to the appropriate parties.
What You Will Bring:
- Associate or bachelor’s degree.
- 1-2 years’ experience with office administration, preferably working in a small to medium size business; experience in a professional services firm preferred.
- Excellent organization and time management skills.
- Strong verbal and written communication skills.
- Strong interpersonal skills; ability to work with all levels of an organization.
- Strong work ethic with a can-do attitude.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Strong technical aptitude and ability to learn new technologies quickly (Salesforce experience a plus); experience supporting staff-level technical needs/inquiries.
- Proficient in MS Office (Excel, Word, PowerPoint) and Google Suite.
- Ability to work in a fast-paced environment.
- Adaptable and comfortable with change.
- Self-starter mentality; proactive mindset.
