POSITION TITLE:      Program Coordinator

CHARACTERISTICS OF THE JOB:  Through supporting the Program Manager, implement and monitor program activities to ensure quality of assigned programs, including the adherence to organization, contractual and other relevant standards

PROVIDES SUPERVISION TOAll assigned staff which may include Junior Programs Analyst, Employment Services Specialists (ESS), Participation Support Specialists (PSS), Job Coach/Trainers, Program Assistant(s) or others in the absence of the Program Manager.

  • Support the Program Manager in Coordinating staffing to ensure consistent and high quality delivery of services
  • On-going database development, customization, revision, and maintenance
  • Oversee the collection, formatting, and analysing of data; external and internal to the organization
  • Ensure timely development of internal and external reporting for all Workforce Development programs
  • Plan and implement outreach activities that meet program, grant and budget requirements
  • Ensure client-related records, including database entries, are current, accurate, submitted on a timely basis and meet organizational, contractual, CARF and other relevant standards
  • Assist in the development of new programs and services, as requested
  • Support HR and payroll process, as necessary, through timely submittal of CAFs, timecards and other records specifically resulting from programs
  • Ensure invoice data is accurate and submitted in a timely manner.
  • Assist in the development of, and implement short and long term program goals
  • Assist in developing and implementing annual program evaluation objectives
  • Implement and support the agency Safety program, including ensuring the timely and accurate submission of all required documents; ensuring that safety training is a priority, including regular participation in Safety trainings
  • Assist with the recruitment and selection of qualified staff
  • When required, supervise assigned staff according to organizational policies in order to maintain a high level of performance and delivery of services
  • Conduct self in a professional and ethical manner at all times

  • Review and update procedures for assigned programs annually
  • Represent and promote programs and services to employers, community based organizations, partners or others as appropriate to increase placement opportunities and determine employer needs

  • A minimum of two years college, Bachelor’s Degree preferred or sufficient life and work experience to provide the skills and ability to perform the job
  • At least two years’ experience coordinating human services programs; knowledge of behavioral health employment programs highly desired
  • At least two years supervisory experience
  • Solid leadership skills
  • Working knowledge of educational, government and social service agencies and programs
  • Familiarity with the Americans with Disabilities Act
  • Proficient in Microsoft Office Suite (including PowerPoint) or similar software
  • Excellent oral and written communication skills
  • Excellent interpersonal skills, including the ability to interact with a diverse population
  • Ability to  travel to multiple sites in the course of your daily work activities

WORK ENVIRONMENT:  Office environment with carpet and overhead lighting. Occasional exposure to moderate noise levels (office machines)

PHYSICAL REQUIREMENTS:  Sitting, standing and walking intermittently. Close and visual distance capabilities. Fine finger movements. Vehicle travel. Occasional gross manual dexterity.
