CHARACTERISTICS OF THE JOB:  Provides a wide range of administrative supports, working independently with minimal supervision, to support the President and CEO.  Act as custodian of organization’s official documents and records.  Act responsibly with confidential matters.  Exhibit a high level of professionalism. 

PROVIDES SUPERVISION TO:   None

RESPONSIBILITIES - ESSENTIAL FUNCTIONS:
  • Attend all meetings of the Board of Directors, Executive Committee, Board Committees and Leadership meetings.  Prepare and maintain minutes of the same.
  • Prepare and disseminate information to Board of Directors, Board Committee members and Leadership staff. Present all correspondences, Board meeting packets, and communications in professional format.
  • Support the President/CEO and Board of Directors at all Goodwill functions and meetings, in an on-going basis.
  • Provide executive administrative support to the Board of Directors as needed.
  • Prepare correspondences, reports and proposals.
  • Coordinate the Annual Statistical Report (ASR) with staff; submit data gathered in a timely manner to meet standard requirements of Goodwill Industries International (GII).
  • Maintain, coordinate and/or prepare all CARF documents, files, binders and meetings.
  • Create, prepare, schedule and assist with presentation of the Annual Performance Report.
  • Coordinate the annual Board dinner, Board retreat workshop, Employee Recognition events and any other company event.
  • Coordinate marketing collateral needs to include ordering, receiving, and distribution.
  • Coordinate Press/Media for events as business needs require.  Submit employees/organization for recognition as appropriate, including responding to local news outlets for interviews and access to stores to further Goodwill’s mission.
  • Manages and executes all administrative tasks required to efficiently and effectively support the executive.
  • Maintain and coordinate all technology for meetings, i.e. Zoom, Boardable.
  • Lead organization in use of new technologies such as Visio, BrainShark, etc. that enhance communication across the organization, with the Board and to the community.
  • Performs complex and confidential administrative functions including developing and preparing written correspondence and presentations for the executive. Responds to routine external correspondence independently as directed by the executive. 
  • Prepares memos, purchase requisitions, expense reports, payment requests and other department forms and documents. Facilitates approvals by the executive.
  • Maintain employee and department branded clothing orders to ensure accurate representation of the organization.
  • Ensure mission and branding consistency by designing, reviewing, editing and approving communications distributed from the organization.
  • Maintain calendar for President/CEO.
  • Ensure compliance with all Goodwill policies and CARF standards.
  • Serve on various committees as requested and available.
  • Provide support for executive staff as schedule permits.
  • Assist in securing additional donations.
  • Support new potential funding sources including assisting in preparing proposals for third party funding and grant requests.  Other related duties as assigned.
  • Manage, prioritize and coordinate schedules for conference calls, inter-office meetings, seminars, etc. to ensure no conflicts and priority issues.  Insure necessary documents and other materials are on hand and that executive is prepared for all appointments.
  • Coordinate new Board of Directors' orientation and maintain new members Manual.
  • Regular on-site attendance is required due to the interactive requirements of the position.

ANCILLARY FUNCTIONS:
  • Maintain a well-organized filing system securing confidential documents and contracts in accordance with agency policies and procedures.
  • Travel between GIRE locations to perform various functions of the job, as needed.
  • Conduct self in professional and courteous manner at all times.
  • All other duties as assigned by the executive or the Board of Directors.

QUALIFICATIONS:
  • Minimum of five (5) years’ experience working for senior-level management coupled with at least five (5) years’ of administrative assistant business experience.
  • Exceptional communication skills, orally and in writing.
  • Strong office technical skills.
  • Solid interpersonal skills. 
  • Advanced degree in Business Administration preferred; Bachelors or Associates degree.
  • Must demonstrate strong attention to detail, business judgment and the ability to follow through on commitments.
  • Excellent interpersonal skills required to include the ability to maintain strict confidentiality and demonstrate discretion in communications with others.
  • Offer a solid understanding of office technology and experienced in introducing and utilizing best in class technology for resolving administrative issues and innovating efficient processes with other support staff.
  • Must possess demonstrated intermediate to advanced skills in MS Word, Excel, PowerPoint and/or comparable.
  • Valid California driver’s license, adequate auto insurance, reliable transportation and an acceptable driving record; or an alternate method of travel that supports timeliness and reliability.

WORK ENVIRONMENT:  Primary work environment is in a carpeted office environment and overhead lighting, with exposure to moderate noise levels (office machines, foot traffic in hallway, etc.).  Limited exposure to retail store and warehouse environments during course of work.

PHYSICAL REQUIREMENTS:  Position is sedentary. Requires standing, sitting and walking intermittently throughout shift; repetitive finger movements with regular computer use; limited bending/stooping.  Occasional vehicle travel required to agency locations.
