POSITION TITLE:    Retail Administrative Assistant

CHARACTERISTICS OF THE JOB:  The Retail Administrative Assistant manages and executes all administrative functions required to support Goodwill’s Donated Goods Retail program.  Working directly for the Director of Retail, the Administrative Assistant is required to efficiently and effectively handle calls and e-mail, prepare purchase orders or check requests, manage outgoing mail, make photocopies, prepare supply orders and maintain filing. A high level of intercompany communication to include informational updates to various stakeholders, such as the Senior Leadership team or website may also be necessary. This position requires highly developed multi-tasking and organizational skills.  Assignments will include both routine and special project tasks.

PROVIDES SUPERVISION TO:   None

RESPONSIBILITIES - ESSENTIAL FUNCTIONS:
  • Serve as the primary support personnel to the Director of Retail and the retail division 
  • Organizes and distributes routine reports such as daily sales, production goals, SGW performance, etc.
  • Ensure daily sales, donation, transaction and labor information is reported timely
  • Handle distribution of retail messages as directed
  • Coordinate all retail meetings (live or online) on behalf of the director
  • Become administrator and agency expert of all retail specific software
  • Research, analyze data and draft reports at the Director’s direction
  • Maintain a well-organized filing system to include vendor files
  • Create, or assist in creation of marketing materials
  • Perform purchasing for the Retail Departments; purchasing supplies for each store location, preparing all necessary paperwork for accounting and distributing orders to correct stores timely
  • Provide communication support for Regional Managers and other retail staff as needed.
  • Secure location for meetings and manages all meeting logistics when appropriate
  • Conduct errands as assigned
  • Conduct special assignments as needed

ANCILLARY FUNCTIONS:
  • Conduct self in professional and courteous manner at all times. Maintain confidentiality.
  • Adhere to GIRE policies and procedures.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
  • All other duties as assigned

QUALIFICATIONS:
  • High School diploma plus at least 3 years Administrative work experience required. Strong math and English necessary, bookkeeping experience preferred
  • Highly organized, self-directed and detail oriented
  • Should possess demonstrated intermediate skills in MS Outlook, Word, Excel and Power Point
  • Keyboard 45 WPM, accurately
  • Must have exemplary organizational, time, and project management skills to include the ability to independently manage multiple projects simultaneously and within time and budgetary guidelines
  • Must demonstrate strong attention to detail, business judgment and the ability to follow through on commitments
  • Demonstrate proficiency in grammar, editing and proofreading
  • Able to communicate effectively with co-workers and the public in person, by written correspondence, and on the telephone
  • Ability to compile and analyze data; prioritize and problem solve
  • Ability to work independently with minimal supervision
  • Excellent interpersonal skills required to include the ability to maintain strict confidentiality and demonstrate discretion in communications with others

WORK ENVIRONMENT: Clean office environment, temperate climate, overhead lighting, carpet, and low to moderate noise level.

PHYSICAL REQUIREMENTS:  Standing/sitting intermittently throughout day.  Continuous and repetitive grasping and finger movements to answer phone and use computer.  Limited bending/stooping.  Visual and hearing skills required.  Ability to lift up to 25 pounds occasionally.
