Who is I-77 Mobility Partners?

The I-77 Express Lanes project represents the first P3 project in the state of North Carolina and will provide significant infrastructure improvements years sooner than otherwise possible if relied solely on public funds. A Cintra-led team was selected to develop the 26-mile project which runs between the junction with I-277 in Charlotte and NC-150 in Iredell County. The project consists of constructing new express lanes, converting the current High Occupancy Vehicle (HOV) lanes to Express Lanes, repaving the general purpose lanes and implementing a dynamic pricing toll system. Once complete, the project will relieve congestion and enhance mobility by increasing existing road capacity.

Your next calling:

As the  Executive Assistant you will provide comprehensive support to corporate executives including scheduling and planning meetings or events, coordinating travel, preparing and maintaining expense reports, preparing business letter correspondence, and effectively managing all essential tasks using excellent organizational and communication skills. An Executive Assistant will have the opportunity to manage the organization and coordination of office operations and procedures in order to ensure organizational effectiveness and efficiencies.
Functions key to success:
  • Recommend, coordinate and schedule national and international travel accommodations for members of the department to meet their business and personal needs via travel agency or online scheduling system
  • Assist in preparing for Board of Directors meetings
  • Assist in preparing PowerPoint presentations, excel spread sheets and reports.
  • Coordinate calendar availability for internal and external attendees to schedule meetings, conference calls, business meals and catering utilizing Outlook calendar or via phone, keeping in mind various time zone differences
  • Perform general clerical duties for department to include but not limited to office organizational filing and file system maintenance, photocopying, faxing, scanning, mailing, binding presentations, lunch-time phone coverage and assisting with filing of deadline driven proposals as needed
  • Prepare, and execute business letter correspondence on behalf of their needs as generally dictated, and maintain tracking database of incoming and outgoing business letters that require or have initiated correspondence
  • Coordinate large scale, high profile events/meetings by determining event and meeting needs, researching and selecting venues, communicating with vendors, requesting proposals, negotiating pricing, and finalizing all details and arrangements for such events
  • Arrange, schedule and secure conference speaking opportunities for the executives, providing photo, bio, and other information while coordinating networking opportunities during conferences with other attendees using Outlook email or phone
  • Develop and maintain relationships with executives’ contacts and contacts’ assistants to secure future meetings, calls and events using phone or Outlook email
  • Ensure that there is an adequate supply of stationery and proper equipment for the functioning of the office.
  • Ensure that there is an adequate supply of snacks, drinks and coffee in the kitchen.
  • Ensure the kitchen is cleaned and dishwasher run every night.
  • Arrange delivery of catering for meetings when requested.
  • Schedule office services (deliveries, maintenance)
  • Responsible for greeting visitors and operating a multi-line phone system
  • Work with vendors to receive bids for services
  • Maintain shipping/mailing accounts
  • Analyze incoming memos, submissions and reports to determine proper distribution
  • Review for accuracy invoices related to office services
  • Prepare medical expense reports for the executive staff in compliance to company policy
  • Locate documentation on Document Control application for review when requested
  • Other administrative duties as assigned.
  • Perform other duties and responsibilities as needed

  • Must be able to demonstrate computer proficiency, especially with Microsoft Excel, Outlook Calendar, Word, Power Point and other PC based programs.
Our working environment:
I-77 wants to ensure that all of their employees are comfortable and able to work in the type of culture and environment we have built our business on. Our office is typically quiet with low noise levels; however, you will often hear employees laughing and commiserating amongst themselves. Effective communication will be key for this role and will require you to talk and hear others. You must be comfortable spending large periods of time speaking over the phone. You will probably spend the majority of your time sitting and/or walking around the office, whether to visit a co-worker or make it to a meeting on time and there may be occasional long hours to put in if you are diligently working to complete a project and finish a report.  Specific vision abilities required by this job include ability to adjust focus, as necessary to use a computer. There could be a time when you may need to lift and/or move up to 10 pounds, but not very often.
