A century ago, Calistoga was a town centered around its bubbling natural hot springs and the beautiful weather of the Napa Valley. Today, it’s a bucket-list destination for ardent wine lovers, foodies and wellness seekers for its particularly enviable version of the “good life.” Solage was created to reflect its hometown spirit, drawing visitors as well as area vintners who come here after a day in the vineyards to relax over a glass of wine or a craft cocktail and connect.

Core Responsibilities

The key responsibilities for this position are:

  • Sales Representative Job Functions
    •  Create contacts, accounts and bookings in Delphi.
    • Create proposals, contracts and “Reservation Forms” 

    • Create expenses reports, trip reports and group invoices.

    • Create Amenities for upcoming clients

    • Planning, preparation and hosting group site visits, which may include client entertainment.

  • Sales Coordination:
    • Assist sales team with Delphi accounts Lead Entry/bookings management, contracts, proposals, lead qualification, prospecting, expenses reports, trip reports, group invoicing, etc. 

    • Assist with advanced sales trip planning and post-trip follow-up.

    • Secure dinner reservations, golf, spa, activities, etc. on behalf of clients/VIPs.

    • Attend daily morning operations meetings when the sales manager is not on property or otherwise not available.

    • Monitor daily glitch reports for in-house groups, VIP clients and site guests on behalf of sales managers.

  •  Site Visits:
    • Assist with site/VIP reservations, required site documentation  and partner with reservations as needed.
    • Pre-planning and preparation for site visits and VIP stays in collaboration with sales managers.

    • Participate in planning sites in tandem with the events department as needed to assist with room shows.

    • Conduct site inspections when the sales manager is not on property or otherwise not available

    • Meet/Greet group clients and VIPs upon arrival and departure.

    • Coordinate amenities.

    • Advance rooms prior to arrival and/or prior to the start of site tours.

  • General Administrative Tasks
    • Be familiar with all hotel services/features and local attractions/activities to respond accurately on behalf of sales managers. 

    • Assist with presentations/collateral needs

    • Additional tasks as assigned by the DOSM and DOS

    • Provide backup to the Systems Coordinator as needed (example: while on vacation

  • Other 
    • Participate in and support hotel and company efforts towards sustainability and environmental initiatives of the Auberge brand.  

    • Perform other duties as directed, developed or assigned.

    • Periodically assist with front of house operations on an as needed basis (example:  crunches).

    • Periodically assist events team with group operations on an as needed basis.

    • Help develop and train incoming team members. 

    • Be a resource for other departments in search of group-related information and documents.

Required Qualifications

  • Education:                    
    • College education required.
  • Experience:                  
    • Two years experience as sales/catering assistant with use of Delphi and Opera system.


  • Excellent reading, writing & oral proficiency in the English language.   

  • Attention to detail. Ability to multitask.  Must be able to type 40 wpm. 

  • Required clerical responsibilities; typing, filing, faxing, photocopying. 

  • Able to handle a large volume of telephone calls and emails in an efficient and courteous manner.  

  • Food and Beverage knowledge is a plus.

  • Work well under pressure, ability to multitask and be a team player. 

  • Detail oriented, well developed organisational skills and a strategic thinker.


  • Experience in the hospitality industry is preferred, but not required.

  • Proficient with Microsoft Google Suite (Gmail, Google Slides, Sheets, Docs, etc).

  • Proficient with Microsoft Office (Word, Excel, PowerPoint, etc.).

  • Knowledge of Opera PMS and Salesforce Amadeus fdc (Delphi).

Physical Demands

  • Frequent or occasional need to perform the following physical activities: reaching, bending, pushing, pulling, twisting, lifting, and climbing.   Have frequent need to perform standing and walking activities related to inspecting property. 

  • Constant need to perform the following physical activities: grasping, turning, finger dexterity.

  • Occasional need to stand or site for long periods of time.      

  • Lifting/carrying up to 10 lbs. frequently and 25-30 lbs. occasionally.

  • Vision requirements: constant need to view small print.  Frequent need to see small details and things clearly beyond arms’ reach.

  • Hearing requirements: constant need to speak on telephone or through Google Meet,, respond to general public and converse with staff, ability to hear fire alarms and emergency equipment.
