Role Summary
The Food and Beverage Administrative Assistant will support the Food and Beverage Management team and the resort General Manager through a variety of standing administrative tasks, special projects and assistance with special events.

Core Responsibilities
Please note that this is not an exhaustive list of everything that needs to be done!  Within the Auberge family, our people always find new ways to look after the business, their guests, and their team-mates. Within this, the key responsibilities for this position are:

  • Enter and edit gratuities and time punches for payroll processing

  • Assist with recruitment:  set up interviews with candidates, work with Talent & Culture to set up onboarding and training

  • Coordinate onboarding details: business cards, IT credentials, office set up, uniform, keys, etc.

  • Assist coordinating welcome and farewell experiences of task force and/or visiting managers

  • Assist in coordinating training attendees, printing and maintaining training documents and SOPs

  • Edit, print and distribute menus to the various outlets

  • Assist in managing reservations and RSVPs to special events

  • Assist in making, editing, and cancelling reservations for Solbar & Pool/Picobar

  • Assist in managing e-mail correspondence for F&B outlets

  • Assist creating collateral and signage

  • Maintain Safe Food Handling Binder

  • Schedule travel arrangements as needed:  flights, hotels, restaurants

  • Prepare and submit expense reports and check requests

  • Assist with Executive Calendar for Resort General Manager

  • Prepare and process incoming and outgoing mail for F&B

  • Order office supplies

  • Other projects as needed and other responsibilities as the position is developed.

Required Qualifications

  • Works primarily day shifts with some variability to accommodate payroll deadlines

  • Pleasant, polished and professional demeanor  

  • Skilled in communication and collaboration across departments 

  • Excellent written and communication skills in polished business English

  • Ability to coordinate multiple activities with attention to detail and follow through 

  • Ability to take on new responsibilities and roles as the position demands

  • Computer skills:  Google Suite, Excel, Word
