JOB SUMMARY:
The Receptionist is responsible for answering inquiries and providing information to the public, customers, visitors, and other interested parties regarding activities conducted at establishment and location of departments, offices, and employees within the organization.

SALARY: $19-22/hour

REPORTS TO: Director of Finance

ESSENTIAL FUNCTIONS: 

  • Answers telephones to direct calls, take messages or provide information for multiple companies with multiple lines.
  • Processes, sorts, and distributes company mail.
  • Deliver outgoing mail daily to the post office.
  • Files documents and records.
  • Greets and assists incoming visitors, clients, and employees.
  • Serves as the company phone administrator.
  • Maintains reception area; fills copiers and fax machines with paper and ink as needed, dusting and straightening of area, waters plants, replenishes daily sign out sheet and visitor log.
  • Receives shipments and deliveries.
  • Orders materials, supplies, and/or equipment.
  • Prepares daily bank deposit spreadsheets and documents for clients.
  • Prepares memos and other business correspondence.
  • Proofreads documents, records, or other files to ensure accuracy.
  • Responds to customer problems or complaints.
  • Schedules appointments and maintains and updates appointment calendars.
  • Schedules repair technicians for all office equipment.
  • Supports other departments with projects and tasks, as needed.
  • Keeps up to date on applicable staff members availability.
  • Assists with seasonal and company events and activities.

ADDITIONAL RESPONSIBILITIES 

  • Accomplishes all other duties and tasks as appropriately assigned or requested.

EDUCATION & EXPERIENCE: :

  • High School Diploma or GED and a minimum of one (1) year prior receptionist or customer service experience.

KNOWLEDGE, SKILLS & ABILITIES: :

  • Effective verbal and written communication skills.
  • Ability to give full attention by actively listening.
  • Excellent customer service skills.
  • Time management and organizational skills.
  • Attention to detail.
  • Proficient use of computers and other standard office equipment.
