Title: Project Coordinator
Reports To: Controller
Department: Field Office
Compensation:  $24 - $26 per hour based on experience


Summary of Position: The Project Coordinator is responsible for the administrative support to the Project Managers, Foreman and other office personnel.  This position will have some external customer contact.

Project Coordinator Responsibilities:
 
  • Set up and maintain jobs for department
  • Maintain job trackers
  • Set up and submit bids as needed
  • Set up and maintain customers and vendors in Sage
  • Enter COI’s into Sage
  • Maintain customer portals (Avetta etc)
  • Prepare County bid paperwork
  • Research materials, sub-contractor and vendors for job requirements and send out request for quotes
  • Issue purchase order for job supplies
  • Enter stock inventory transfers
  • Obtain building permits and request stakeouts
  • Download photos into customer portals
  • Complete closeout package for jobs
  • Complete daily payroll for department field crew into Sage, track hours and verify travel on GPS
  • Complete billing and A/R for department
  • Continuous communication with other Project Coordinators, help when needed
  • Provide support to Project Managers, President, & Vice President as requested
  • Other duties as assigned by manager

Job Skills & Qualifications:

High School Diploma / GED
Associate’s Degree in Business
1-2 years of Customer Service Experience

1-2 years of Projector Coordinator experience
Advanced knowledge of Microsoft Office

Knowledge of Sage 300 software is a plus
